How do I print speaker notes without the slide thumbnail?

PowerPoint does not normally offer a simple print-menu choice called “notes text only.” For a short presentation, Microsoft’s documented workaround is to remove the thumbnail from each Notes Page before printing.

How do I fix missing, clipped, or cropped PowerPoint notes?

Notes do not appear at all

If notes are missing, confirm that the text was entered in the slide’s actual Notes pane, not in comments, a text box, or another review feature. Then confirm that the print layout is Notes Pages, not Full Page Slides or Handouts. Finally, inspect the print preview before printing.

If the web version does not offer Notes Pages, open the file in desktop PowerPoint. If the notes placeholder was altered in Notes Page view, check that the placeholder is visible and inside the printable page area.

Only the first line or part of the notes prints

Partial notes usually mean that the notes placeholder is too small for the amount of text. Select View > Notes Page, enlarge the notes placeholder, reduce the font size, shorten the notes, or resize the slide thumbnail. Check the page orientation, paper size, and preview again. If the notes remain too long, export to Word for more control over pagination.

The slide or notes are cropped

Cropping can result from a mismatch between the document and printer paper size, printer margins, portrait orientation, a placeholder extending beyond the printable area, or a scaling setting supplied by macOS or the printer driver.

• Review Print Preview.
• Confirm the paper size, such as Letter in the United States where appropriate.
• Try Landscape if portrait orientation is cramped.

The wrong slides print

Which orientation and color settings work best?

Use Portrait for the usual slide-above-notes arrangement, but try Landscape if the slide thumbnail or notes text is cramped. Choose Grayscale when color is unnecessary; charts and tables can be easier to distinguish in grayscale on some non-color printers.
